WWSRA SMS Privacy & Messaging Policy
Last Updated: October 23, 2025
This SMS Privacy & Messaging Policy (“Policy”) describes how WWSRA (“we,” “us,” or “our”) collects, uses, stores, and shares information in connection with our SMS/text messaging service, and your rights and choices regarding that information. This Policy is part of and should be read in conjunction with our overall Privacy Policy and Terms of Use.
1. Scope & Purpose
-
This Policy applies to individuals who provide their mobile phone number to us and opt in to receive SMS/text messages from WWSRA (such as alerts, updates, reminders, promotions, or informational messages).
-
Our goal is to communicate with you via SMS in a lawful, transparent, and respectful manner, consistent with applicable federal and state laws (including the Telephone Consumer Protection Act, or TCPA), FCC rules, and industry standards (such as the CTIA Messaging Principles & Best Practices).
2. What Information We Collect
When you enroll in our SMS service, we may collect:
| Data | Source / Method | Purpose |
|---|---|---|
| Mobile phone number | You provide it via web form, mobile opt-in, or other consent mechanism | To send messages to you |
| Name / contact name | You may optionally provide along with number | Personalize messages, record keeping |
| Consent metadata | Timestamps, IP address, consent screen version, etc. | Demonstrate and document your consent |
| Message interaction data | Keywords (e.g. STOP, HELP), message timestamps | Manage opt-outs, help requests, compliance |
We do not collect sensitive data (such as financial account numbers, Social Security numbers, etc.) via SMS enrollment.
3. Consent, Opt-In & Documentation
-
We will only send you marketing or promotional messages after you have provided prior express written consent.
-
The consent mechanism will clearly disclose:
-
That you are consenting to receive automated text messages from WWSRA;
-
The types of messages you may receive (e.g. reminders, alerts, promotions);
-
That message & data rates may apply;
-
That consent is not a condition of purchase;
-
That you may reply “STOP” to opt out (or other short code);
-
Link to this Policy (and our general Privacy Policy).
-
-
We will retain records of your consent (date, time, method, content of disclosure, etc.) to maintain compliance and serve as proof in case of dispute.
-
If you enroll via a “text to join” keyword (e.g. texting a number or shortcode), you will receive a confirmation message (double opt-in) confirming your desire to receive our SMS messages.
4. Types of Messages & Message Frequency
We may send you:
-
Transactional / informational messages (e.g. account updates, event reminders)
-
Promotional / marketing messages (e.g. offers, announcements)
Unless you explicitly consent only to informational messages, we may send a mix. We will strive to limit message frequency (for example, not more than a few messages per week), and you will always have the option to opt out.
5. Message Content & Identification
-
Every message will clearly identify WWSRA as the sender.
-
Messages will not contain misleading, fraudulent, or prohibited content.
-
Messages will avoid “SHAFT” content (relating to sex, hate, alcohol, firearms, or tobacco) as per CTIA guidelines.
-
Where required, messages will include disclosures such as “Msg & data rates may apply.”
6. Opt-Out / Revoking Consent
-
At any time, you may opt out of receiving further messages by replying STOP, or another simple keyword we designate (e.g. “UNSUBSCRIBE”).
-
After you send the opt-out keyword, we will:
-
Immediately (or as soon as practicable, but in compliance with law) cease sending further promotional messages;
-
Send a confirmation message (without promotional content) acknowledging your opt-out.
-
-
If you ever want to re-subscribe, you must explicitly opt in again.
-
You may also reply HELP (or similar) to receive instructions or support.
7. Time of Day / Quiet Hours
-
We will not send marketing or solicitation texts outside the hours of 8 a.m. to 9 p.m. (recipient’s local time) (or narrower, if required by state law or industry best practices).
-
We will adjust sending times based on recipients’ time zones to stay compliant.
8. Do-Not-Call / Internal Suppression Lists
-
We maintain an internal suppression list (do-not-contact via SMS) and will honor all opt-out requests permanently (unless you re-consent).
-
We will also suppress numbers that appear on the National Do Not Call Registry or other applicable state do-not-contact lists, as required under law.
-
We will periodically scrub our list against reassigned number databases (RND) to avoid sending to numbers that have changed hands.
9. Data Sharing & Third Parties
-
We do not sell, rent, or lease your mobile number to unrelated third parties for marketing.
-
We may share your mobile number and related metadata with third-party service providers (e.g. our SMS platform, delivery systems, analytics providers) solely for the purpose of enabling the messaging service and improving delivery, subject to confidentiality obligations.
-
We will require those providers to safeguard your data and restrict usage to permitted functions.
10. Data Security & Retention
-
We implement administrative, technical, and physical security measures (such as access controls, encryption, and secure storage) to protect stored data.
-
We retain SMS-related data (your number, consent logs, opt-out logs) for as long as needed to fulfill our obligations under law, resolve disputes, and maintain compliance.
-
If you opt out (or request deletion), we will remove or anonymize your personal data except to the extent retention is required by law or for recordkeeping.
11. Governing Law & Changes to Policy
-
This Policy is governed by the laws of [Your State, e.g. Colorado], and federal U.S. telecommunications statutes.
-
We may modify this Policy from time to time. If changes are material, we will notify you (e.g. via SMS or email) and provide the updated date.
-
Continued use of SMS services after a change constitutes your acceptance of the revised Policy.
